Highlevel Campaign Set Up

Assigned to

Notes
Isaac Klausnser, Medstar Isaac - I want your help to set this up as a template. We will need 5 campaigns (CoolSculpting, Botox, Filler and Miradry, General Contact Form)
Is there a way we can only do this with one campaign meaning if a lead comes in to the main campaign that is CoolSculpting it says "Hi Lead name,  we saw that you are interested <insert service> or if they select another service it inserts another service like botox, that way we do not have to build out 5 different campaigns?

Also, I need to know the most simple way to setup. I am not sure how to do the pipelines. I read a little on Highlevel how to set them up and I think the more simple the better. There is a won-lost area of each stage name of the pipeline. Here is what i am thinking is the easiest way to track. If you have another suggestion please let me know.

New Lead - Leads are automatically added to this. From this stage, the phone call, email or text will go out. It remain in this stage until the lead responds.

Connected - The lead will move here automatically once someone responds. It can stay here while the staff member is communicating with a lead. If they do not want to come in they can mark it as LOST - if they do Book an appointment they would mark it as won and it would automatically go to the next stage

Consult Booked - Any lead that has made an appointment would go here. Either by the lead being won in the connected stage or manually moved. It says here. So if the appointment does show up it stays in this spot.

Consult Provided - this is the stage a staff member would move the lead into if the actual consult was provided. If they do not sale the person it would stay here or be marked as lost if they do sale the person it would be marked as WON.

I am not sure the best way to set this up and have the staff manage it but your advice I would appreciate.

We also need to build their campaign and test the phone number option. So it automatically calls them when a lead comes in. They have an outgoing message on their phone so we need to program the system to go through that. Tell me the best way to test this with them. The phone number to forward is

- Added dynamic service code in both SMS and call. We don't need to build separate campaign for each service.

For General Form I added - "services at Dr. Gambhir Cosmetic" in the dynamic service code.

So if they fill Coolsculpting form - They will receive below sms.

Hi {{contact.first_name}}, we would be happy to provide you more information about Coolsculpting. Let me know a good time to call you back or if you would like I can answer your questions or schedule you via text.

If they fill Home page bottom form. They will receive below sms.

Hi {{contact.first_name}}, we would be happy to provide you more information about services at Dr. Gambhir Cosmetic. Let me know a good time to call you back or if you would like I can answer your questions or schedule you via text.

Quick Note - Call Whisper field in Call Event in Campaign is for staff and not leads.

So whatever text you enter here. Dr. Gambhir's staff will hear and once they press 1 it will connect them with the lead or say will call the lead.

Please check this video to learn more about it - https://youtu.be/oNM17lvUCVo?t=539
This video also explains about the voice email as well.

- For the pipeline stages. The way you have it currently setup i.e
New lead > connected > consult booked > consult provided is best and recommended way.

I would recommend you to check this short video on pipeline stages, leads status (won, lost and abandoned) and also how you can can change their lead status automatically using triggers. Staff doesn't need to move them manually to lost, abandoned or won.

I haven't set up the custom time (9 to 4) for events in the campaign so that you can first test on your end.

Please let me know. Thanks.

Awesome. How can I temporarily turn on the call feature to test out the lead and then turn it off? Also is there a way we can set up a notification when a lead responds to a text message so they can see it un their email box and it reminds them to reply?
Isaac Klausnser, Medstar
Chris Zelig, Medstar Chris - To test out the call event in the campaign below are the steps.

1) Add yourself as assigned user to the test campaign > add test lead to smart contacts list > add custom tag to it (any tag) and it will get automatically added to the campaign.

Note - Make sure you have two different numbers set in both assigned user and test lead.

Then once test lead get added to the test campaign you should receive a call > you need to press 1 and then system will call the lead.

2)  Also is there a way we can set up a notification when a lead responds to a text message so they can see it un their email box and it reminds them to reply - WILL LOOK INTO IT.
Isaac Klausnser, Medstar
Chris Zelig, Medstar Chris - I looked into it and YES it's doable. Please let me know what text you want me to add in the email body for text notification?

For eg . You have a new reply from {contact name}.

Let me know. Thanks.

Isaac Klausnser, Medstar Isaac - can we schedule a time to go over this today or tomorrow? I am free after 2PM Hawaiian Time. Or Tomorrow I could do 6AM hawaiian time or between 10AM and 12 PM Hawaiian Time. Maybe this would help
