S: Its important place to start that no one did anything wrong. We’re at 73/75 accounts that we are actively managing, and that’s crazy, normally the agency would be much bigger to manage better. However, things are starting to slip through the cracks. Need to fix some things. I talked with Chris about a few things that can be improved. STOP texting requests, or at least text Hector too. *Example, Concierge, at some point the task was lost but I did do the address.
W: How do you communicate to your team?
S: We use slack, but it’s not much different from Basecamp. Things that will help on my end. If things aren’t complete, then it becomes kind of a paper chase. In ideal world, landing pages would never change, but when it is self-inflicted it can get confusing and causes pain and will get worse as we grow.
*Have the landing page/URL already set before assigning it too Shane, it was fine in the past to send partially developed, but with the growth things get lost.
*Don’t assign FB task until access has been approved
W: For sure Client Success Managers need to come up with the URL to give to Hector and Shane, and then we will task it out to web developers. Is there a spreadsheet you would like us to create?
S: I think what we are doing is just fine. BC keeps records. Assigning a task without a landing page can get confusing, but usually we catch it because of conversion tracking, but would be better to prevent that.
W: Anything else?
S: Splitting up Google and FB has helped tremendously. If Chris keeps texting me requests, I am going to forward them to Hector, otherwise there is no record in BC.
H: Injection ads, I don’t have any records
W: I do Hector, and you asked the JJ’s (Sculptdtla) but forgot to task it out too Shane. If a client asks directly, please take accountability and just do it (especially in ads) I would prefer a screenshoot.
S: BC should be the master record keeper. We are all human, mistakes can be made, but right now it is too easy to make mistakes. Another thing:
*Train the clients to be as hands off as possible on the campings.
*Example, American Laser Medspa, it was an issue created by the client but ultimately came back to me. Campaign targeting across the US is a common thing, but if it crashes at any point in the upload, the default location setting is for the whole world. For some reason clients have unpaused (by looking at changes) and then Chris paused it and the task got made as complete because there was no record of the communication that happened there.
When things get messed with it can be catastrophic. We are super responsive to changes, but please emphasize to the clients how important it is not to mess with anything, that we will handle it.
W: What about boosting on FB?
S: They are at risk of getting the account disabled, not preferred.
W: Let me show you what I mean on Reston (to confirm only EmSculpt Neo is only running)
S: Look at the campaigns instead of the ads. I never touch client campaigns, EVER.
W: Remember when it was suspended, would someone had to have turned them on?
S: No, previous settings would be set. I don’t mess with client campaigns for the same reason that I ask they do not mess with mine.
W: We have a dermal filler that we need to expedite (not your fault).
H: That was my bad I thought I had already tagged him.
W: Seems like the season is hitting (slow).
S: Yeah, things do slow down some in the summer.
H: I saw a huge drop on these people’s campaign (Riverside)
S: Anytime there is a CR change of 50% from one week to the next, it is almost always indicative of a problem that either the client’s site broke, ads are disapproved, or something like that. In this case I don’t think there is a problem there.
W: Did we resolve the Hollywood?
H: Isaac contacted their support and nothing was coming up, then I created a video to send to Isaac “connection insecure”
W: Its an Isaac thing?
H: Thats the thing its a tech problem but they aren’t seeing things
S: Which location? Let’s do Colorado Springs. Going to location targeting and I’ll change my location to match targeted area. Searching CoolSculpting (app doesn’t always work). Changing location to exact place of the office. It might be blocked, I’m not seeing it. The issue is happening in Denver not Colorado Springs.
H: For me it was the link on the ads that it could be seen.
S: Yeah I’m not sure what is going on there it seems to be happening from the clients side.
W: Do google forms help? Would it be helpful to have all the clients in one spreadsheet?
S: I already have that. The problem is this, if the note happens in spreadsheet and doesn’t correspond in BC then it gets lots. There are just too many avenues of communication.
W: Everything we get any changes updated, let’s take a screenshot of that email, tag Shane and Hector in it always, and then lets always get the URL to Shane first and then let the web developers know what that will be. Then Hector lets keep something about what the best slugs will be.
S: Main requests:
Tasks come through more developed. Like landing pages and ad pages. Periodically clients change locations and then they do not let us know.
W: Have you seen the 2-step verify on ads?
S: Oh yeah Hector and I are working on that.
H: Google had it in place before and now they are enforcing it.
W: Real quick Shane, we have someone who sends us business on occasion, he got his FB suspended and website. They didn’t give an option to appeal. Do you have any advice?
S: This is two separate issues: target campaign issue. Right now, IOS changes screwed everything up, can only launch as traffic campaigns right now until affiliated pixel is given to for lead generation. He’s going to have to start a new account.
W: Anything else to add?
S: No, just emphasizing that any tasks that are texted, I am going to forward them to Hector going forward.
W: Need to keep receipts so we don’t get screwed.
